Have you designed an event program or booklet with process color and spot color images and found out the colors  printed were different than you saw on your monitor or when you printed it on your desktop printer?

Colors within your event program or booklet will look different when viewed on different monitors. They might also look different when comparing copies printed on a professional digital color press and copies printed on your desktop printer. The real reason for this is that all digital color devices operate in their own  individual color space, which is  the range of color they are capable of reproducing. No digital color device can reproduce the full gamut of colors we can see with the human eye, and no two digital color devices have the same identical color space to describe the colors we see and use.

We use color models to describe the colors we perceive and use. Each color model such as RGB, CMYK, or Lab represents some other method for describing and classifying color. Color models use numeric values to represent the visible spectrum of colors. For example, within the RGB color model, there are a number of color spaces: Adoble RGB, sRGB, and Apple RGB. While each one of these color spaces defines color using  (R.G. B.), their gamuts are not the same. Within the CMYK color model there are a number of color spaces also: ISO, SWOP, TOYO and Euroscale. Again, while each of these color define color using C,M,Y,K, their gamuts differ also.

Because each digital color device has its own color space, it can only reproduce colors within its gamut. When your event program or booklet file moves from one device to another, image colors may change because each device interprets the RGB or CMYK values in accordance with its own color space.

Many times we receive a file for event programs or booklets and the copy is either “washed out” or too dark. It is possible to correct the file and make the event program or booklet print as the designer wanted by correction in “dot gain” in the file or on the digital press.

Dot gain is the measurement of the increase in size of the halftone dot between the original file and the final printed piece. Dot gain is a common term used by event program or booklet printing graphic designers and printers to describe density. It is a old printing term which described the problem faced when ink coming into contact with paper enlarged the halftone dot due to paper type, finish, and blanket to plate pressure. Dot gain can be measured with a reflective densitometer.

Digital presses don’t have the same problem with dot gain as offset or letterpress equipment because toner doesn’t squeeze like ink does, however paper type can affect the density of digital print.  Good digital printers know how to use dot gain to correct or improve images and the final printed product.

Many high level digital presses allow the operator to increase or decrease the halftone dots on the PDF file right on press. Usually the amount they can correct is fairly small (15% darker or 15% lighter). If the correction doesn’t give you the resolution you need, it is possible to correct the dot gain for a high resolution PDF file by using Adobe Photoshop.

Correct Dot Gain in Photoshop

  • Start by opening the PDF file in Photoshop.
  • Right click adjustment, then choose curves.
  • Select the color you wish to correct, or select ” same” to change the density for all colors.
  • Select the dot gain curve and drag to the point you feel gives the density you like best.
  • Save file as PDF file.
  • Print a proof  and correct again if not as desired.

CMYK color may sometimes be referred to as four-color printing, full-color printing, or process color printing.  CMYK is the printing process.  CMYK printing can reproduce all full color event programs and booklets extremely well.  It is the foremost process to achieve authentic looking photographs upon a print program or booklet.  It is the process the printing industry as well as your desktop printer uses.

CMYK printing simulates a full-range of colors by mixing differing percentages of four primary colors: Cyan, Magenta, Yellow, and Black.  When these colors are printed over a surface, they subtract from white light that reflects off of the background, achieving the illusion of color; this is exactly why, CMYK can be described as “subtractive” color.  An RGB color scheme forms color using an additive process; to produce white, all 3 colors are added together, in order to produce black, all 3 colors are removed. In contrast, the CMYK printing process produces white by omitting all color, and obtains black by employing all four colors.

In CMYK printing, cyan, magenta, yellow, and black (the “K”) inks are printed on the paper as tiny dots (known as a “screen” or “line screen”).  Also referred to as Dots Per Inch (DPI), which is a measurement of resolution of a printed image decided by the number of dots that fit into one inch.  With CMYK printing,   halftoning or screening allows for less than full saturation of the primary colors; tiny dots of each primary color are printed in a pattern small enough that human beings  perceive it as a solid color.  These dots are so tiny that when they combine visually, they create a rainbow of colors.

Pantone colors may not print as expected in a CMYK printing environment.  For optimal results, your image must be at least 300  to 600 DPI at the final output size.

However you supply  files for your event program or booklet to be printed, the colors should be designed or converted to CMYK. This  can be done through a photo editing program such as Adobe Photoshop, layout  programs such as Quark Xpress or Adobe InDesign or when converting to Adobe  Acrobat PDF format using the Press Quality settings.

Digital Printing is Fast Overtaking Offset Printing

Digital printing arrived in the marketplace during the early ’90s and was promptly heralded as a major advancement that would definitely provide short-run color printing at an affordable cost, supply an abundance of POD (print-on-demand) options and open up the doorway for printing on-demand documents, short run brochures, small quantity event program and booklet printing, and variable data printing.  It is all about less of waste, storage fees, high quality full color and short-run print.  It is printing that uses electronic files in print production.  It is generally defined as any type of print production that utilizes electronic files to produce a printed piece.  Digital printing is often cheaper than screen printing–and it’s faster.

Digital printing is a professional option for four color pieces that don’t require the large capacity of an offset press.  It is a more recent technology and is said to be the successor of offset printing.  It has incorporated a newer technology that is sweeping the world of direct mail professionals—variable data.  It has become the fastest growing industry segment as printers embrace this technology.

Digital printing is considered economically friendly as it wastes less chemicals and paper.  It has eliminated some of the long and arduous steps that a typical printing machine gives you.  It is important due to the fact that it help keep the costs within budget.

Digital printing has some benefits over conventional offset printing.  To begin with, the turn-around for prints is significantly faster.  Second of all, each and every print looks the same as the very first print, and there isn’t any need to balance colors and water.  Digital printing is commonly less costly to setup, particularly if you just need to print a smaller run.  In addition digital printing permits individuals to make the most of variable data printing, where by illustrations or photos or copy can be changed on every individual piece without slowing the process.

Digital printing has taken away some of the lengthy and difficult actions which a normal printing machine provides. It reduces the printing time and concurrently it provides a less expensive printing price. If you’re for speedier turnaround times for your event program or booklet printing, then you certainly should choose digital printing simply because its flow is noticeably shorter compared to one of offset printing.

Digital presses recognize electronic files and generate images utilizing specific toners with no need for printing plates, lessening setup time substantially. Color correction and color-to-color registration are dealt with in an electronic format, reducing the quantity of waste. On the other hand, digital printers demand far more maintenance than offset printers, plus the distinctive toners are more costly than offset inks.

Digital printing is just about the fastest developing business segment as printers adapt to this technology. Most professional printers now do some type of electronic digital printing. Printing operations these days use scanners and digital cameras to enter illustrations or photos and computer systems to format the graphic illustrations or photos previous to printing.

Should You Archive Information on Paper or Digital Media?

All of us use and archive most of our business or personal information on digital CDs, DVDs, flash drives or on our computers hard drive. Innovation in software and hardware continue to reduce the cost and increase the ease of digital storage.  Are we moving to a society that can eliminate all our libraries of printed books or reference manuals?  As business managers, can we throw away the printed copies of business transactions, legal or financial documents and have every thing stored digitally?

Information stored digitally has two disadvantages, the deterioration of the media, and the rapidly changing technology. How much information have you saved recently on floppy disks or zip drives? If you store your information digitally on a media, is it going to be around in five years for you to retrieve it, or are you going to constantly restore it on the new media? It doesn’t take to much imagination to visualize a scenario in which an important legal or financial or government document was stored on obsolete media which cannot be retrieved.Paper documents have been around for more than 2000 years, digital media just won’t last that long.

Digital storage of temporary documents is not an issue, however if your documents are legal, government, financial or irreplaceable personal documents, they need to be backed up on paper.  You can back up your documents on your own printer using  high quality acid free paper and storing them in a dry cool storage file. If the quantity of documents is too large for your equipment, you can find a good commercial printer to do it for you.

Low Cost Options for Booklet Printing

Everyone wants to publish an event program or catalog or newsletter that will attract, inform and move the reader to action. You want to “knock the socks off” your audience.  It would be great if you could accomplish everything you want at the lowest cost option. Sometimes you can.

Booklet printing offers many ways to cut your costs and still give you the booklet, event program, catalog, or newsletter you visioned.

One of the first things you need to determine is the size of the event program or booklet you want. Should it be 8.5″ x 5.5′ or 8.5″ x 11″ or something different. If you use a size different from 8.5″ x 5.5″ or 8.5″ x 11″ you run the risk of increasing your costs as your booklet printer will have to use a larger stock size. Many times you can get the same result with a smaller (8.5 x 5.5) booklet.

Design features can increase the cost of your event program or booklet. If you want to have the copy bleed off the edges of the booklet pages, you will have to pay extra as your booklet printer will need to use larger stock sizes and have extra trimming costs. (Booklet Printing LLC does not charge extra for event programs and booklets that bleed as we have standardized our paper sizes and order in large quantities to reduce our and your costs).

Are you using high resolution or very fine graphics in your booklet which may require you to use a gloss coated stock instead of an uncoated opaque stock?  Gloss paper is more expensive than  uncoated opaque. Most type and normal graphics look perfectly fine when printed on a good uncoated opaque stock.

Is your event program or booklet going to be used a lot and require a sturdy cover, or can you get away with a self cover booklet? A self cover booklet (cover which is printed on the same paper as the text pages) is less expensive than a booklet with a heavier cover.

Is the booklet used only for instruction or information? If so, it probably can be printed in black ink. Is you booklet an advertising vehicle like an event program with advertising or a product catalog? Then you probably want your booklet to print in color.

In conclusion, if you can make your booklet a self cover 8.5 x 5.5 booklet and print it black ink on uncoated opaque paper you can save money. However, always make sure that your booklet does what you need it to do. It is false economy to print a booklet that is designed to be as inexpensive as possible if it doesn’t accomplish what you wanted it to do in the first place.

Catalog Printing Services Have Expanded

Catalog printing services have grown with the demand for newer or more unique catalogs. In the past most catalogs were large, bulky volumes that would hardly fit in the mail boxes of the people they were delivered too. With advances in printing you now have several options to choose from when it comes to having a catalog created for your business.

Whether you company specializes in a product or services it is still possible to have a catalog created that will make your company stand out from others. Many businesses try to save money by having catalogs printed in basic black and white. These companies fail to realize that people focus better on color advertising. Some companies have tried having the majority of their catalogs printed in black and white with only a few items in full color. This tactic works to some extent, but can be limiting to customers.

Catalog printing services now allow you to change not only the format, black and white, colored, or a combination of each but they also allow for variations in size. Most catalog printing services now allow you to choose from various sizes, formats, paper quality, and layout so that you can be sure that the catalog you have printed stands out from others.

Mini-catalogs are one of the options that most catalog printing services offer now. Often these are used in waiting rooms or other areas where people are going to be for short periods of time. Places where they would not have the time to look through a complete catalog but have plenty of time to browse through a specific selection. These mini-catalogs are small enough that people can easily stick them in a pocket or a purse to carry with them.

This portability makes them a good choice for special sales or reductions in prices. People see something they are interested in and can easily pick up one of the mini-catalogs to take with them when they leave. The variety of catalog printing services now offered makes it very easy to find an option that would work for your catalog need.

Whether you want a full sized, full color catalog or a mini-catalog for special items there are catalog printing services that can provide what you are looking for. You can easily personalize your business catalog with the format and layout that you think would best fit your product or service. You may want to talk to a catalog printing service to see just what options are available to you.

Scored and Folded Brochure Formats

An interesting and functional way of transmitting your message to your customer can be achieved by using a single sheet of paper. Too often we feel that the only way information can be organized printed and sent to the intended user is in the traditional saddle stitched booklet, or flyer format. The technique of scoring and folding a single sheet of paper in a variety of ways can sometimes be the most effective and cheapest way for you to get your message out.

Proofreader’s Symbols Chart

The symbols shown below are the most important of the standard system used in proofreading.  The use of professional typesetting software has diminished the need for these symbols, but they are still valuable tools for publishers, event program and booklet printers.

Air Moisture Effects in Booklets

We are booklet printers and we print dated and undated booklets weekly. Dated booklets are printed, used and discarded in a short period of time. They are used as event programs, sales catalogs, newsletters and other dated events.  Moisture and moisture effects on the booklets aren’t a significant problem.  However, there are thousands of booklets printed by organizations that are printed and stored  for years, such as poetry books, prayer booklets, historical manuals, directories, maintenance manuals, parts manuals, etc.

Changes in the relative humidity to which your booklets are exposed will change the moisture content of the paper your booklets are printed on. Since warm air can hold more moisture than cold air, booklets kept in a warm room under conditions of low humidity will lose moisture to the air and will shrink. Conversely, booklets stored or placed in a cold room will pick up moisture that the air can’t hold and will expand.

The loss or gain of moisture content in your booklets, catalogs or manuals if great enough will cause problems.  The most common problems resulting from gain or lose of moisture in your booklets are:

Low relative humidity is usually the cause of curl in your booklets, because low humidity induces shrinkage and shrinkage results in curl.

Wavy Edges

In areas of high relative humidity, booklets will often soak up moisture from the air on the edges of the booklet pages only.  This will cause the pages to swell and develop a wave across the booklet page.

Obviously, we all know that keeping booklets in a protected environment with consistent humidity will prevent air moisture problems. However it is nice to know what effect high and low relative humidity have on your booklet.

Printing Booklets on Color Digital Presses

“Digital Printing is a perfect process for printing short run booklets!”

In 1969 a Xerox researcher named Gary Starkweather invented the laser printer. Since then faster, higher quality (up to 2400 dpi), and less expensive printers have made huge inroads into the offset booklet printing market.

Less than 20 years ago, almost all booklets, catalogs, newsletters, brochures and event programs were printed offset.  If the quantity you ordered was small, the cost per booklet was very expensive because the make ready labor required to make negatives, strip them up, burn offset plates, develop the plates, mount the plates on the press, register the copy and color, and finally start printing booklets was extensive. Once your order quantity increased your offset printer could spread the make ready costs over a larger quantity, thus reducing the cost per booklet. That’s why most booklet printing was done  black & white. Color was much too expensive for short run booklets, catalogs, event programs or brochures.

Modern digital color printing however, eliminates the make ready costs required by offset printing, and we start printing booklets from the first impression. The waste factor in digital printing is almost zero.  Digital color presses allow us to put the the digital files received into signature format, step them up, and send them to the printer in seconds, not hours. Plus, the color registration is perfect from the first impression to the last. This streamlined process allows for low cost pricing on booklet quantities as low as one.

No process is perfect however, as the “click charge” on digital color presses limit the competitive advantage digital has over offset to smaller booklet quantities (typically under 500), and smaller brochure quantities to under approximately 2500.

Adding Color to Your Booklets

We have all heard the saying “A picture is worth a thousand words“. It refers  to the idea that a complex idea can be conveyed with a single still image. I really like the quote attributed to Napoleon Bonaparte, ” A good sketch is better than a long speech“.  People are very visual beings,  we like and understand pictures better than we do the printed word. We like colored pictures even better (When was the last movie produced in black & white?).

When someone picks up your product catalog, newsletter, or event program, do you want them to read pages of descriptive copy when one color image will tell them more clearly than words what your product is and what it looks like?  Catalog publishers have found out that their customers buy more of their products when it is printed in color. They also reduce the number of returns when the customer can see exactly what their product looks like before they buy it.

Digital color booklet printing has made enormous strides to improve quality and reduce costs over the last few years.  New technology now allows everyone to add color to their product catalogs, newsletters, or event program.  It wasn’t very long ago that the only way you could afford color was to print large quantities.  Now you can have as few as 25 booklets or catalogs printed in color and still afford it.

All of us want to increase sales and increase satisfied customers. Color helps us achieve these goals.   We are all about eye candy, the more color, the better.  Now with digital color booklet printing we can provide the color at a reasonable and profitable cost.

We Specialize in Booklet Printing

It is very easy for you to pick the wrong printing company to print and bind your booklets, product catalogs, newsletters, or event program.  After all, if your printer has a printing press,  shouldn’t he be able to print your project?  There are printing companies in almost every town in America,  can’t they print booklets, product catalogs, newsletters and event programs as well as any company specializing in booklet printing?  The answer to those questions is “NO they can’t”.

Picking a  printing company from a telephone directory is like betting at a casino. You may win sometimes, but most of the time you are going to be throwing your money away.

If you need booklets, catalogs, newsletters, or event programs printed you need to go to a booklet printer that specializes in that printed piece.  You will save time money and exasperation. Printing is just like any service, each operation requires knowledge, experience and the right kind of equipment to do the job right.

Booklet Printing, LLC specializes in the printing of saddle stitched or coil bound booklets, catalogs, newsletters or event program. We do not try to print every product and provide every service you need. Digital printing of publications really started to become popular and economical with the introduction of the Xerox Docutech 135 in 1990.  The Docutech 135 allowed digital booklet printers to compete with offset booklet printers on a quality and price standpoint for the first time.

When your booklet printer prints your booklet on an offset press they print each signature individually.  If you ordered 250 booklets, your offset booklet printer will make plates for each signature and each side, and print 250 of each signature and then collate all of the signatures together for binding.

When your booklet printer prints your booklets on a digital press, they print all of the signatures at one time.  If you ordered 250 booklets, your digital booklet printer will print 250 booklets already collated and ready to bind.

The first question usually asked is “Which process is the most economical?” The answer is “Both”.  If  you are printing a smaller quantity of booklets (usually 25 to approximately 250 to 500 booklets) you are going to get your best price if you have them printed digital.  If you are printing larger quantities (500 booklets and up) you may want your booklets printed offset.  Digital booklet printers must pay a “click charge” which begins to diminish the set up advantage digital has over offset  as the quantity increases.

The  second question asked is “Which process gives me the highest quality?” Digital printing has progressed very rapidly over the last 20-years from 300 -450 DPI to 2400 DPI.  If you want to flood coat a very large area, a high quality offset press can lay down more ink than a digital press, however, it has to be a large high quality press in order to do it.  Most small offset presses have a hard time matching digital quality and consistency.

A third question asked many times is “Can you match my PMS color on your digital press?”  The answer is “Sometimes.” There are a number of colors that digital printing can match fairly closely, however there are may PMS colors that cannot be matched with digital printing.  If you require exact PMS color matching, you probably want to have your booklets printed offset.  Offset inks can be matched to exact PMS formulas, while digital presses must mix CMYK colors to attempt to duplicate your PMS formula.

In conclusion, if your booklet printing needs are under 250 to 500 booklets, you should look for a  digital booklet printer.  If your booklet printing needs are larger than that, you should look for an offset booklet printer.  Your normal quality concerns can be met with either of today’s modern digital and offset presses .

We receive copy for booklets, event programs, calendars, catalogs, or newsletters here at Booklet Printing LLC almost daily that is supposed to bleed, but the designer has not given us ‘Bleed Area’.  This can cause delays and problems with printing the files.  From our standpoint, bleed seems to be one of the least known and most confusing features in file preparation.

Bleed is probably easiest described as a printed image that is purposely designed to run off the edge of the page. The image can bleed on one, two, three or four sides of the page.

This is in contrast to regular printing where the image floats and has a white margin (usually 1/4″) all around the page.  Note: The original reason for the 1/4″ margin was to give ‘gripper’ or ‘plate gap’ space required for offset and letterpress printing on exact size papers.

Booklet printers cannot print to the edge of the sheet of paper. To give you bleed we must print the image on a larger sheet of paper and trim it down to size.  It is impossible for the cutter to trim the page down exactly on the edge of the print without leaving a little white edge, or going into the copy and cutting off graphics or type close to the edge.  Therefore we require 1/8″ image extension outside the finished document size. For example, if the final booklet page size is 8.5″ x 11″. we want a file that is 8.75″ x 11.25″.

Booklet pages that bleed are viewed as more professional.  Having a bleed page usually indicates that you are using a higher end software.  Most home desktop publishing systems require you to have white borders around the edge of the image.

Bleed gives you less distraction.  The copy is the message, not the border.

Visual impact can be more effective and the overall presentation is more pleasing.

InDesign is publishing software that has may options for setting up a booklet or document for print. Go to the ‘New Document Menu’ and you will notice individual choices for page size, margin and bleed.  Merely enter your figures and let InDesign do the work for you.  Simple isn’t it?

Indesign Layout Screen2

InDesign automatically adds crop marks when exporting the document to PDF.  Under the marks and Bleed settings, simply check the printer marks in the dialog box.

Booklet Printing 600DPI 8-BIT VS. Booklet Printing 2400DPI 1-BIT

A couple of years ago I was looking at replacing one of our digital presses here at Booklet Printing LLC. We print color booklets, calendars, newsletters, event programs and catalogs, and image quality is very important to us. We had a 600 dpi 8-bit press which we were very happy with, but it was 3-years old. While I was researching new presses  I discovered that one of the new presses I was looking at was 2400 dpi 1-bit. They had changed the rating, I didn’t know if the print resolution of the new press was 4-times better than my old 600 dpi 8-bit press. Or, was the print resolution of my old press twice as good as the new press (600 x 8 vs. 2400 x 1) I asked around and nobody could give me an answer. Finally I received the following article written by Peter Dundas, an engineer for Xerox.

600x600x8 vs. 2400x2400x1

Peter Dundas, October 2004

For a resolution of 600×600, the pixel size is 42.5 microns (0.04mm). 8-bits means that each pixel is able to reproduce many levels of intensity (a maximum of 256) compared to 1-bit which is only ‘on’ or ‘off’. To create additional levels with a 1-bit screen requires combining the on/off pixels into larger objects, typically dots. To generate 256 levels of intensity with a 1-bit screen requires a square dot area of 16×16 pixels.

The 16×16 structure for 600x600x1 is rather large, producing ‘square ‘dots (0.68mm x 0.68mm) and is visible to the eye. It is roughly equivalent to using a 37.5 LPI screen in printing. Generally, quality offset printing uses at least a 133 LPI screen. Though some tricks can be done to make the 1-bit structures less visible, a 600x600x1 screen will look much noisier or grainier, especially in the highlights. For these reasons, 600x600x1 is never used.

The 2400x2400x1 changes all you’ve ever heard about 1-bit. The 16×16 dot structure now becomes much smaller (0.17mm x 0.17mm) so the dots are a quarter of the size of 600x600x1 to produce 256 gray levels and is equivalent to using a 150 LPI screen, similar to offset. These are called mono-dots or single centered dots, similar to what you find in offset printing.

However, Xerox has developed a better way of “growing” dots to produce 256 levels of color, using quad-dots. These are dots that are ‘grown’ from four distinct centers within the same 0.17mm x 0.17mm square. This makes the effective dot size 0.04mm x 0.04mm or 42.5 microns. This is equivalent to using a 300 LPI screen.

In addition, 2400x2400x1 enables much smoother dot screens to be designed with better shaped dots and this is evident in the mid tone and highlight image quality of pictures, especially in facial structure.

The second aspect of output quality is that 2400 DPI is four times the DPI of 600. This means that fine text and line art will have much less jagged edges and will be sharper and look like offset printing. Some 600 DPI systems use anti-aliasing or dot positioning techniques to achieve quality which is equivalent to 2400 DPI systems that do not need to use such techniques. Nevertheless, fine Kanji text or italicized Roman text will still look better if rendered at 2400 DPI.

To Summarize, a 2400 DPI device produces sharper, less jagged edges on fine text and lineart compared to a 600 DPI device unless special anti-aliasing techniques are used. It also enables a more optimized screen design which produces very smooth mid tone and highlight image quality.

P.S. We traded in our 600 DPI 8-bit press and replaced it with the 2400 DPI 1-bit press. The quality was in fact better and we were able to see the results immediately on the booklets, calendars, newsletters, event programs, and catalogs we printed. More importantly, our customers appreciated the increase in quality.

Completing the design portion of your booklets, event programs, calendars, newsletters, or catalogs is not enough. You must still get your file to your booklet printer in a format that will allow them to print your booklets, event programs, calendars, newsletters or catalogs exactly as you designed them. Sending your file in the native format is very unreliable due to missing fonts, corrupt files, missing graphics and other conversions that occur when opening a file on two different systems. Sending it as a Postscript File is just as unreliable and the files get very large and cumbersome. Most digital printers require that you send your files as “High Resolution PDF Files”.

Adobe Systems, Inc invented an open standard for document distribution called  the “Portable Document Format: (PDF), which is secure and reliable. The process is quite simple and eliminates most file transport problems. Here’s how it works:

A.You complete the design portion using your preferred software. The best applications to use for layout are: Quark Express, Adobe InDesign, or Adobe Pagemaker. The best applications for graphics are: Adobe Illustrator or Macromedia Freehand. The best application for photographs is Adobe Photoshop. These programs allow for bleed and were made for printing to higher resolution printers.

B. Set up your Adobe Acrobat Distiller:

  • 1. Right click Acrobat Distiller.
  • 2. Select Printing Preferences
  • 3. Click Adobe PDF settings
  • 4. Select “Press” as this is the setting that will maintain all the information your booklet printer needs to print your file correctly.
  • C. Use Adobe Acrobat Distiller to create a PDF file of your document.

    D. Carefully examine the newly created PDF file to ensure appropriate layering, any bleed extensions, necessary crop marks etc.

    E. Send the PDF file to your booklet printer.

High Resolution PDF file format offers so many distinct benefits. They are complete, compact, portable, reliable, editable, and universal.

    Employee Handbooks

    Printing Employee Handbooks

Employers are not required to print an employee handbook, but it is advisable. An employer generally benefits from printing an employee manual for protection against employee lawsuits. Once a decision to print an employee manual has been made, certain requirements must be met, but the benefits of having a printed employee manual far outweigh the cons.

The Benefits of a Printed Employee Handbook

At Booklet Printing, we recommend printing your employee handbook because we think that, if you have more than a few employees, it’s a good idea to print an employee handbook that clearly explains your workplace policies. The benefits of a printed handbook of employees are many: Every employee receives the same printed handbook that provides information about the rules of the workplace; your employees will know what you expect from them (and what they can expect from you); and you’ll buy yourself valuable legal protection if an employee later challenges you in court.

A main advantage of printing an employee manual is establishing well defined employment policies. In its most basic format, an employee manual defines the employer’s standards. These standards allow employers of all sizes to treat employees fairly on a long term basis.

An employee’s printed handbook is also convenient for conveying company policies to your employees. There is not enough time to orient new employees and communicate everything they need to know. This is particularly true given the growing number of forms that must be completed before the employee actually starts working. An employee printed manual or employee printed handbook allows employers to communicate its policies in a form that’s easy to relay to employees, new and old.

Lastly an advantage of a printed employee manual is the prevention of employee lawsuits. A printed manual that clearly states that it is not intended to create a contract will prevent lawsuits for violations the policies outlined in the employee manual. Printing an employee handbook can also reduce the risk of employment discrimination suits since employers that print employee manuals and employee handbooks are much more likely to apply policies in a consistent manner.

At Booklet Printing, we highly suggest you have a printed version of your employee handbook.

    Pricing Books

    Pricing Booklet Printing

Pricing booklets are imperative to all companies. A professionally printed pricing booklet can spell the difference between being taken seriously during a sales appointment and looking like a novice company. Printing a pricing booklet can be crucial for all companies whether you’re selling five products or five hundred products. That’s why our Booklet Printing recommends you use a printed pricing booklet printed by a professional company specialized in printing services When printing a pricing booklet, there are some things that you want to make sure that you keep in mind before printing it:

    -          Make sure that you combine similar products. When you’re putting together your pricing booklet before printing it, make sure that you have a flow to the product list. If you sell more than one model or edition of “Widget A” then make sure that you list all of them before you move onto “Widget B” before launching the printing process. This will not only help the reader make their way through the printed pricing booklet when they’re making their initial purchase, but it will help make their future purchases easier.

    -          Make sure that the prices are easily associated with the appropriate products. Now this rule is a little more subjective. For example, high end restaurants tend to use the technique of mystifying the pricing of their printed menu items because they rely largely on impulse and perception. On the other hand, if you’re not offering pricing on something that’s focused on impulse, it’s helpful to align the prices with the product itself. This will help buyers make a well informed decision and will be less likely to be subject to buyer’s remorse.

As always, make sure that you’re carefully editing your pricing list before you send it in to print. The last thing you want to do is realize after your list is printed that it wasn’t edited as well as you wish it would’ve been.

A spaced format or a full color printed document can help understanding and visualizing

    -           Make sure to prepare appropriately. As always, preparation is everything. When it comes time to plan your reunion, ask everybody to provide their high school pictures along with current pictures so the attendees can identify with their old friends and flames in a way few can. Printing Cookbooks

Printing cookbooks are a fantastic way for talented chefs who want to share recipes with family and friends or for those who would like to sell their printed cookbooks as a business. You can print your cookbook to be sold or simply to offer your family recipes for future generations to enjoy. You can also include vibrant full color printed photographs in your cookbook. Printed cookbooks can also make an excellent gift. That is why, using Booklet Printing, our printing services offer you the opportunity to print your cookbooks.

Before you decide to print your cookbook, make sure that your manuscript is in one file. If every chapter is saved as a separate file, they will all have to be merged into one file before printing. Always make sure you backup your files before you start modifying them.

One of the first pre-printing tasks you should think about for your cookbook is having it edited. Also you may want to make sure to run through every recipe to make sure that your ingredients are in line and in an appropriate format before printing it. After all, you want to make sure that all of your recipes are correct before your cookbook goes to our booklet printing services.

The paper your book will be printed is available in specific sizes. With this in mind, it’s best to try and keep within more cost effective formats. In many instances, your book may be sold in book stores, which means there are specific book formats or book sizes that are preferred by bookstores (and expected by readers). Our online booklet printing services can advise you on what format you should use.

Coil bindings are the most commonly used binding for printing cookbooks. This binding style is used primarily because when the cookbook is open, it lays flat. The printed cover of your cook book is another important component of your printed cookbook because if the content of your cookbook is first-class, you’ll want the printed cover of the book to portray that (to prevent the “judge a book by its cover” scenario). Your printed cover has to be professional and representative of what your readers will see inside your printed cookbook.

    Instruction Manuals

    Instruction Manual Printing

When printing an instruction manual, it’s of vital importance that the instructions are clear and easy to understand, that is why Booklet Printing recommends our printing services to create an effective printed instruction manual. If an instruction manual has instructions that are vague, incomplete or even incorrect, they’ll not only be difficult to understand, but will more than likely just be considered a waste of space, money and time. At Booklet Printing, making this information clear and easy to understand is part of our printing services.

Here are some tips on giving instructions that will be used by your customers and not just seen as an annoyance by frustrated consumers:

    -          Offer visual stepping stones. Avoid simple bullets or paragraphs when creating your manual to print. Instead, offer visual representations of each step (Step 1, Step 2, etc). This will better engage the reader and make your instructions easier to understand. Color printing can help visualization.

    -          Avoid long instructions. If you make your step by step instructions too long when booklet printing your manual, your readers simply won’t read it. By nature, readers skim much more than actually read when they’re following instructions. By making your manual short and to the point, it will be much easier to understand and follow on a printed manual.

    -          Don’t use industry jargon. Remember, the people following your instructions may not be industry experts. Using industry jargon makes instructions very difficult to follow and just builds frustration in the reader. Use everyday words and phrases to make it easy for everyday people to understand your printed manual.

    -          Use an active voice. This may seem like a simple semantic distinction, but it’s something that can absolutely help in avoiding confusion and frustration when someone is reading your printed manual.

Keep these tips in mind when getting your instruction manual ready to print and you’ll make life a lot easier on your customers and your customer service staff.

Contact us today for more information about our event program or  booklet printing prices and to find out how we can help you print your instruction manuals.

    User Manuals

    Printing User Manuals

Printed user manuals have come to be known as confusing, annoying booklets that are included with most of our electronics, furniture and even cable equipment! As time goes by, however, companies are constantly changing the way that they create, design and print their user manuals to become more user-friendly and so they’re not tossed aside and left with the trash. A well organized and well printed manual can be useful and practical. That is why Booklet Printing recommends printed manuals.

Here are some great guidelines for creating a printed user manual that will get read and keep your customers happy.

    -          Provide an actual printed version of your user manual. Making people read a PDF is annoying and will most likely lead to frustration. Trying to read intricate instructions on a computer screen is annoying and is often simply not done, while reading a printed manual paper is more pleasant.

    -          Include a quick start page. When booklet printing your user manual, it’s a good idea to include a one page guide to getting started for more advanced users who may not need instructions in full detail.

    -          Don’t summarize. Regardless of the simplicity of your product, make sure to provide detailed, step by step instructions when you go to print your user manual. Remember, if Pop-Tarts have three step instructions, there’s no reason that your product shouldn’t have at least as many on your printed manual.

    -          Test, test, test! Before your user manual goes to print, make sure that it’s thoroughly tested with actual users. Remember, your product team designed the product, if they don’t know how to use it; you have bigger problems than the printed manual. The only way to know if your print user manual is actually useful is to have laymen try using it.

Keep these tips in mind before printing your user manual so you can be sure that it will be useful to your users. When your manual is finished, fill out the instant pricing form to the right to print your user manual.

The narrative section of your printed annual report can sometimes be divided into subsections but should include a company overview, a year-in-review section and a section looking forward into immediate and long term plans, new initiatives and potential new products and services.

    -          Financial Statements. Of course, any printed annual report has to include a financial overview of the company and of the year itself. Think of the financial statements as the facts you base your narrative on. Include your income statement, balance sheet, cash flow statement, any audit reports and any graphs and charts to support your statements. Don’t forget to have the financial statements clearly organized and presented before starting the booklet printing process.

    -          Appendices and References. The last section to focus on before you start printing your annual report is the appendix and reference section.  Any supporting documents or referenced documents should go here, and possibly a glossary of terms referenced in the report to help the reader better understand what they’re reading in your printed report.

Printing annual reports is a vital part of most businesses. Submit your file for review today to find out if your report is ready to be printed by our online booklet printing services or contact us for more information about our booklet printing services or booklet printing prices.
